TERMS AND CONDITIONS

These Terms and Conditions govern all services provided by TheSystemsOps. By purchasing or engaging in any service, you agree to follow these Terms.

1. Services Provided

TheSystemsOps provides backend operational support and done for you systems for coaches and service providers. This includes:
• Notion system builds
• Email and funnel setup
• Automation and integration builds
• Backend Operations Retainer
• Workflow optimisation
• Strategy calls and backend consulting

Each service has its own scope and deliverables outlined before work begins.

2. Client Responsibilities

Clients agree to:
• Provide accurate information, assets and account access needed for service completion
• Communicate and respond within reasonable timeframes
• Review and approve work within agreed timelines
• Maintain all platform subscriptions required for the systems we build

Delays caused by missing information or feedback may impact timelines and do not qualify for refunds.

3. Payment Terms

• Payment is due upfront unless otherwise agreed
• Retainer services require an onboarding diagnostic fee plus monthly payments
• Payment plans must be completed in full
• Missed payments may result in paused or cancelled services

All payments are non refundable.

4. Refunds and Cancellations

TheSystemsOps does not offer refunds for digital or service based work.
Refunds will not be issued for:
• Change of mind
• Delays caused by the client
• Unused retainer hours
• Partial completion of a package

Retainer clients may cancel with 30 days written notice after meeting their minimum commitment.

5. Project Timelines

Timelines depend on client responsiveness, scope and access to information.
If the client becomes unresponsive for 14 days or more, the project may be archived and a restart fee may be required.

6. Intellectual Property

Once full payment is received, the client owns all final assets created specifically for their business.

TheSystemsOps retains:
• Ownership of processes, frameworks and internal methods used during the build
• The right to repurpose non confidential structures, templates or workflows

Clients may not resell or publicly distribute any delivered system, template or framework without written consent.

7. Confidentiality

Both parties agree to keep confidential all sensitive information including:
• Business data
• Client information
• Login credentials
• Internal systems

Confidentiality remains in place after the service ends.

8. Disclaimers

TheSystemsOps provides operational support but does not guarantee:
• Increased revenue
• Specific business outcomes
• Future performance of third party platforms

Results depend on the client’s ongoing actions and maintenance of their systems.

9. Limitation of Liability

TheSystemsOps is not liable for:
• Loss of income or profit
• Consequential or indirect damages
• Errors or outages caused by third party platforms such as Notion, Zapier, Airtable, Systemeio

Liability is limited to the total amount paid for the service in question.

10. Communication

Communication may occur through:
• Email
• Telegram or Slack (for support packages)
• Notion or other project management tools

Response times may vary. Standard business hours apply unless stated otherwise

11. Governing Law

These Terms follow the laws of England and Wales.
Any disputes will be resolved in UK jurisdiction.

12. Amendments

TheSystemsOps may update these Terms at any time. Continued use of services indicates acceptance of updates.
